Vision Change Win (VCW) is a Black-led queer and trans people of color consulting firm who has brought together a team of innovators with a wide range of skills and expertise to support nonprofit organizations and companies fully manifest their own missions, visions, and values. VCW delivers practical support to social justice organizations in the areas of organizational sustainability and resilience, transformative strategy, and community safety.

About the Position

Vision Change Win is seeking an organized, independent, highly motivated, and detail-oriented manager able to remotely support a highly talented and visionary leader. This role will be a key support to the company’s Founder and Director, and the successful candidate will have a proven ability to manage the daily operations of a fast-paced and rapidly growing company. The Operations Manager may be based in or around one of three major Cities: New York, NY; Atlanta, GA; or Oakland, CA.

Essential Duties and Responsibilities

Administrative and Team Support

  • Serve as the primary point of contact, internally and externally, for the Director
  • Manage the Director’s schedule, appointments and travel arrangements; ensure schedule aligns with strategic priorities
  • Provide administrative support and travel arrangements to the full team of independent consultants, on client-related work
  • Create tracking systems and documents and update internal processes and procedures as necessary to improve VCW’s productivity, performance and client relationships
  • Assist or manage the preparation of meeting agendas and summaries for team and client meetings, including the drafting of notes and the proper and confidential storage of all documents/notes
  • Manage and/or oversee all of the company’s external relationships including VCW event management, and vendor relationships and contracts
  • Provide IT support on team projects as necessary to keep company systems operating with minimal interruptions.
  • Other duties as requested by Director

Financial Management

  • Review, generate and timely disseminate client invoices and monitor for payment
  • Ensure all the VCW’s account payables are timely and accurately paid
  • Ensure the Director’s timely and regular (monthly or qtrly) review the company’s financial position
  • Work with the company’s bookkeeper and/or tax professional to provide timely reporting to the company’s director and all appropriate tax authorities
  • Ensure the company’s bookkeeper receives any documents or receipts needed to timely maintain the company’s financial records

Client Relationship Support & Business Development

  • Manage full scope of client intake process including arranging and coordinate client meeting, pre-meeting research, and presentation materials
  • Manage and update Customer Relationship Management database (CRM) with all client contact information, meeting records, follow up reports and project documentation
  • Maintain and track VCW independent consultant’s availability and schedules for client and project deployment; monitor, respond or timely distribute incoming, client-related communications to the appropriate independent consultant team member
  • Assist the Director in making sure deliverables on all projects are on track and on budget to ensure we meet and exceed client expectations
  • Provide project management support on the company’s internal programming
  • Assist with social media management and communications, as directed by the Director
  • Maximize Director’s contacts to yield potential future clients and/or repeat client engagement
  • Assist Director in thinking strategically on how to thoughtfully expand VCW’s network, leverage relationships, and grow relationships through targeted correspondence and/or creative outreach strategies

Qualifications

  • Demonstrated commitment to the vision and values of Vision Change Win
  • 5+ years of relevant experience as an executive assistant, operations associate or coordinator, relationship management, business development, customer service management, or a similar role in a fast-paced, growing organization or company
  • Experience managing a visionary leader, able to professionally assert influence with the company’s Director (i.e. manage-up)
  • Ability to be productive and thrive in non-traditional work environment
  •  High level of patience, adaptability, and works well independently
  • Exceptionally strong organizational skills, the ability to work and deliver and achieve targets independently, proactively in an extremely fast-paced company
  • Highly proficient in maximizing various forms of technology/mobile devices in staying organized and connected
  • High levels of trustworthiness, integrity, work ethic, sound judgement and confident decision making
  • Superior interpersonal and communication skills (written and verbal), with a high level of emotional intelligence, compassion and/or empathy
  • Highly developed sense of a customer service orientation with the willingness to do what it takes to get the job done

Preferred Qualifications

  • Proven experience in developing and improving systems
  • Proficiency and/or working knowledge of Xero accounting software and/or Trello is a plus
  • Experience working within an effective social justice organization
